I'm including a complete agreement for a hypothetical keynote, and your agreement letter will be just the same. I want you to see that it's simple and straightforward. You won't be surprised by any fine print or tricky conditions.

SCHEDULING DETAILS:

This agreement confirms a Keynote presentation scheduled for December 1, 2007 in Las Vegas, NV. The current tentative schedule is from 8:30 to 10:00 in the morning.

FEE:

The fee for this presentation is $15,000. 50% of the fee is due immediately to confirm the date. The balance is due on the day of the engagement. Invoices are included with this agreement.
Local Taxes: Some states and provinces have begun to impose taxes on out of state residents earning income while in their state. These taxes are the client's responsibility. George Walther resides in Washington. Speaking From Experience, Inc. is a Washington corporation.

EXPENSES:

All engagements requiring travel from Seattle to destinations within the continental United States benefit from a flat $1500 travel fee that includes air transportation, enroute meals, Seattle airport parking, and all incidentals incurred until my arrival at the destination airport. Please arrange for my transportation from the destination airport to the venue/hotel and return. I’m most comfortable meeting the limo driver in the baggage area. Hotel room, meals, and incidentals should be billed to your master account. There will be no itemized expense report for your accounting staff to handle.

No portion of the program may be audio or video recorded without a separate written agreement.

GUARANTEE:

All services and products marketed by George Walther/Speaking From Experience, Inc. are subject to the same guarantee: Your satisfaction with this program is unconditionally guaranteed, or your professional fee will be refunded.

CONFIRMATION:

This engagement is confirmed upon receipt of the 50% deposit check noted above. I will make every effort to "hold" the date for your engagement, and will certainly advise you if another client requests my availability for a date you have reserved. I understand that it takes a few days to process the deposit check. It is important that you know the engagement is positively confirmed as soon as the deposit check arrives.

CANCELLATION:

If this presentation is canceled for any reason, the following cancellation conditions will apply: If George R. Walther/Speaking From Experience, Inc. is able to re-book this date with another client, your deposit and all fees paid will be fully refunded. If the date is canceled more than 180 days in advance of the program, IO% of the total speaking fee will be payable as liquidated damages. If the cancellation occurs 90 to 179 days in advance of the program, 25% of the total speaking fee is due as liquidated damages. If the cancellation occurs within 89 days of the scheduled program date, 50% of the speaking fee is due.
